Guest Services Agent

Guest Service Agent 

We are looking for a friendly, professional, and customer-oriented Guest Service Agent to join our team.  As the Guest Service Agent, you will make sure that property owners, along with visitors/guests, feel welcome and are well looked after.  Your role will include preparing for arrivals and departures, answering phones, making reservations, attending to owners and guest requests, and more… 

 

You need to have good people skills, a professional appearance and demeanor, as well as be highly organized in order to be a successful Guest Service Agent. The ideal candidate will have previous customer service and office management experience. This position is a full-time, hourly role. This position will work on-site in the Bear Valley Vacation Rentals office in Bear Valley, CA. This position requires Weekends and Holidays.  

 

Job Duties include: 

  • Provides outstanding hospitality to all owners/guests, ensuring the needs of all customers are met and accurate standards of conduct and efficiency are followed at all times. Coordinates the maintenance work with Housekeeping & Vendors and homeowners/guests.
  • Assists the owners/guests with any complaints or disputes.
  • Utilizes interpersonal and communication skills to lead, influence, and encourage others; advocates sound financial/business decision-making; demonstrates honesty/integrity; leads by example.
  • Encourages and builds mutual trust, respect, and cooperation among team members.
  • Serves as a role model to demonstrate appropriate behaviors.
  • Ability to acquire and maintain relationships with associates, owners, customers, vendors
  • Schedule/coordinate the activities and tasks of house cleaners and vendors to successfully complete duties/ projects on time and on budget
  • Enter work orders and track billable time (VERY IMPORTANT)
  • If there are Major Repairs to take place, discuss with GM & homeowner first anything outside of the $300 repair threshold always discuss with GM & homeowner first
  • Maintain quantity and assure quality of inventory items included with each property, replace items as needed, bill and notify homeowners of replacements
  • Assist our team with escalating guest and homeowner concerns by responding to emails, calls, and tickets
  • Review open work orders on a weekly basis and review monthly work order billing for accuracy prior to owner statement preparation
  • Learn and utilize current technology (i.e. Streamline, RedAwning Portal, Bill.com, etc.) used for operations and vacation rental management
  • Assist with guest communications as necessary or requested by the General Manager.
  • Respond timely to internal and external communication (chat, email, voice, etc)  
  • Works closely with internal/external customers, ensuring operations objectives are achieved while fulfilling service, quality, and profitability demands.
  • Laundry pickup and delivery to houses as needed.
  • Deliver amenities or guest items as needed. 
  • Obtain quotes and bids from outside vendors or trades as needed or requested by the General Manager. 
  • Work to coordinate the On-Boarding of New Properties with the GM
  • Perform other duties as assigned.   • Previous hospitality/retail experience (front desk, guest services, or office manager a plus) 
  • Computer skills are required on all forms of hardware - laptops, tablets, and mobile devices.
  • Communicate professionally through email, phone calls, video calls, and texts.
  • Ability to work well under pressure in an agile, fast-paced environment.
  • Highly responsive, reliable, and possess strong attention to detail.
